Recently the ADE has received inquiries as to whether school districts are required to report Activity Funds through state reporting. This information is necessary to comply with two federal agency requirements:
1) The U.S. Department of Commerce requires the reporting of school Activity Funds in the F33 Annual Survey of Local Government Finances for School Systems.
2) The U.S. Department of Education, National Center for Education Statistics, is required by PL 97-35 as revised by the Elementary and Secondary Act of 1965, to obtain the data for the National Public Education Financial Survey.
Therefore, the ADE is obligated to collect the school district Activity Fund revenues and expenditures.
The Activity Fund information will be collected for Fiscal Year 2000-2001 through state reporting Cycle 1, which is due September 15, 2001. School districts that DO NOT process the Activity Funds through the APSCN/Pentamation Financial Management System MUST make a journal entry for the beginning balance, year-to-date expenditures, and year-to-date revenues, which will produce an ending balance for the Activity Fund. These entries may be entered with as much or as little detail as desired by the district.
