LEA Number Policies & Procedures
In the past, LEA numbers have been assigned or changed immediately upon request by a school district. This practice has caused difficulty in accurately collecting and reporting data within the Statewide Information System (SIS), especially when the newly assigned LEA number is reported through SIS after the completion of Cycle 1.
Therefore, effective immediately, requests for LEA changes WILL NOT be honored during the school year. LEA changes will be processed between July 1st and September 1st of each school year. Absolutely no new LEA numbers will be assigned after the district's SIS Cycle 1 submission.
If the district plans to add a school within the new school year and wants to use a new LEA number, follow these guidelines: 1. Obtain a new LEA number for the school as soon as possible after July 1. 2. Enter the new LEA number in the Pentamation system so that it is included in the district's Cycle 1 report. 3. Include the students for the new building in the district's SIS Cycle 2 report. If the new school has no students enrolled prior to Cycle 2, no reports can be generated for that LEA for the remainder of the school year.
In order to verify the current LEA data for each district, the school superintendent will receive information through the mail that will include a list of the currently assigned LEA numbers, school names with grade spans for each school, and an official "LEA Number Assignment Form." Upon receiving the report, please read carefully and verify the accuracy of all the information. For each change that is necessary, fill out the LEA Number Assignment Form to request a school name change, grade span change, or LEA number for a new building. This information must be received by the Department of Education by September 1st. Once the information is received and processed, a copy of the form will be returned to the district, and will include a new LEA number if applicable.
If there are NO changes in the information, fill out only items 1 through 3 on the LEA Number Assignment Form, then sign, date and return the form.
All LEA Number Assignment Forms must be dated and signed by the superintendent.
