Please use the process detailed in this memorandum to amend school improvement plans and budgets. These procedures will facilitate the review of proposed changes in the Arkansas Consolidated School Improvement Plan.
After determination by district faculty members to seek amendments in plans and/or budgets, a representative from the school (e.g., federal coordinator, ACSIP committee person, or administrator) shall contact by email the school’s Arkansas Department of Education (ADE) School Improvement Supervisor regarding the proposed changes. The ADE School Improvement Supervisor will advise the school’s email contact person and make recommendations regarding submission of the amendment to the ADE ftp server (ftp://18.104.22.168/). Consequently, school personnel shall send the amended plans and budgets, named with the information in the following order, to the ftp server (ftp://22.214.171.124/):
* Name of the school
* Date of the amendment using the abbreviation for the month
* Number of the amendment
For example, Southside Elementary School in the Southside School District would submit an amended plan and budget named:
Southside ES Plan 10 NOV 03 Amendment 1
Southside SD Budget 10 NOV 03 Amendment 1
(Notice that punctuation marks are excluded from the file names).
When the amended documents reach the ftp server (ftp://126.96.36.199/), the appropriate ADE School Improvement Supervisor will check the amendments and forward notice of the approved documents to the ADE Federal Finance Office for verification.
The ADE Federal Finance Office will provide authorization of the amendments for payments.
Amended plans or budgets for FY 2003-2004 will not be accepted by the ADE after March 31, 2004; although program adjustments may be made through June 30, 2004.
