The Arkansas Public School Computer Network (APSCN) under the authority of the Arkansas Department of Education (ADE) and in conjunction with the Department of Information Services (DIS) has developed and implemented a new policy on data retention. This affects all districts entering data into the Pentamation Student (SMS) and/or Financial (FMS) Management Systems and the Statewide Information System (SIS). The following lists the data retained for each system:
SMS
1. One online SMS database per district for current school year data.
2. One online SMS Next Year database per district.
3. A database backup is captured at the end of the day and will be kept for seven days. APSCN can restore a district temporarily to any one of those seven database backups.
4. Three online SMS Year-End databases (not including Next Year) per district.(This data is accessed through the Pentamation program.) Two additional years (offline) are available with the cost of the restoring the data at district expense.
FMS
1. One online FMS database for current school year data.
2. FAM, HRM and FIX backups are taken nightly. Each district will have access to the backup within eight (8) hours. Access to the most current backup is available immediately, provided no hardware problems exist.
3. A database backup is captured at the end of the day and will be kept for seven days. APSCN can restore a district to any one of those seven database backups.
4. Fiscal and Calendar Year-End Archive databases will be available for one year. This data will be available within three (3) days of the request.
SIS
1. One online CLC, SI0 and SIS database containing current school year data.
2. APSCN can restore a district to any of the past seven (7) days data. Restoring requires SQL access; however, APSCN personnel may be able to provide other access.
