This memorandum is a reminder of the Arkansas Public School Computer Network (APSCN) policy of charging districts for the costs incurred when restoring databases to backup due to user error. This policy applies to both the APSCN Financial and Student Management Systems. The current Department of Information System (DIS) cost to restore a database to backup is $62.00 per occurrence. If the restore requires Pentamation to perform any work against the restored database, the district will receive an invoice from Pentamation for $150.00 per hour of labor.
In the Financial Management System (FMS), there are numerous instances where a user error could necessitate a database restore.
In the Student Management System (SMS), users could incur charges for the following reasons:
1. A mass update error creates the need for a database restore.
2. Loading erroneous data from a third party software causes the
need for a database restore.
3. Any other obvious user error that causes the need for a database
restore
Prior to APSCN approving a database restore, the district must submit an APSCN Special Request Authorization Form signed by the superintendent. A copy of the form is attached. Once the work is completed, APSCN will mail the district an invoice for the incurred costs.
