Ark. Code Ann. § 6-21-112 specifies that the Division of Public School Academic Facilities and Transportation (DPSAFT) will; “develop and implement an ongoing uniform process for collecting, inventorying, and updating information on the state of condition of all public school academic facilities in the state” and will “report, by October 1 of each year to the Governor, and various Legislative Committees, on the state of condition of academic facilities statewide using specified building and design systems”. The Divisions response to the requirements is the collection and reporting of school district Maintenance and Preventative Maintenance data required by law and detailed in the Custodial and Maintenance Manual.
Beginning July 1, 2008, school districts are asked to begin categorizing all maintenance work requests, into the categories indicated in this memo. Work orders processed prior to that date do not need to be categorized. Maintenance and Preventative Maintenance reports are not required to be submitted by school districts at this time. Additional information will be provided to school districts once the format and submittal schedule has been finalized by the Division.
The states Computerized Maintenance Management System, (CMMS) SchoolDude©, will be modified to assist in collecting this data by incorporating this information as part of the submission process. School districts not utilizing the state CMMS will be required to modify the work request tracking system to classify work orders into the applicable categories. Training will be provided by SchoolDude© to current and future users of the CMMS.
